For EAA Assessor Network members:

5. Data Retention and Deletion

Assessment materials and supporting assessment data are retained for one (1) month from the date of assessment. This allows time for quality assurance, report completion and any immediate follow-up queries. Following this period, assessment records and supporting documentation are securely deleted, as the relevant Form 8 documentation and recommendations will already have been provided to the school, college or referring organisation.

Audio recordings or meeting transcripts used to support report writing are temporary working documents and are securely deleted once reports and notes have been completed.

Network membership data is retained for as long as you remain subscribed. You may unsubscribe at any time by clicking the link in our emails or by contacting us directly.

We regularly review our databases to ensure information is up to date and deleted when no longer required.

6. Data Security

We take appropriate technical and organisational security measures to protect personal data from unauthorised access, loss, or misuse. These include encrypted storage, restricted access, password protection, and secure disposal procedures.

7. Sharing of Information

We do not sell, trade, or share personal data with third parties except:

  • When required by law, or
  • With your explicit consent (e.g. if you register for a webinar hosted by a partner organisation).

Mailchimp is used as our trusted email marketing platform to manage The EAA Assessor Network communications. Your data may be stored on Mailchimp secure servers outside the UK, under the protection of UK-approved data transfer safeguards.

  • Request correction of inaccurate or incomplete information
  • Request deletion of your data where it is no longer required
